Case Study – Yorkshire-based Charity

Client:

  • The client was a multi site charity with head office based in Yorkshire
  • There was no IT presence within the organisation with all services provided by third-parties
  • The existing hosting contract was not working for the organisation and systems outages were common

Engagement Brief:

  • Work with the charity to create a strategy for IT
  • Ensure infrastructure is fit for purpose and the future

Strategy:

  • The organisation was facing a period of rapid change
  • Stakeholder requirements of IT surpassed the current infrastructure and thinking
  • Organisational strategy was unclear and required focus before the IT strategy could be set

Infrastructure:

No investment in IT had been made in a significant time and therefore servers in the third-party data centre and clients were beyond their useful life, creating frequent outages.

Poor advice from the incumbent service provider meant that no asset replacement programme was in place.

When the incumbent made unreasonable demands on the organisation a rapid change was required:

  • Alternative provider found for temporary hosting
  • ‘Life and shift’ of existing servers and repoint of VPNs completed in 2 weeks
  • Tender for permanent hosted services published, collated and summarised for Board approval
  • New, permanent, hosted solution contracted for within 3 months

Other activities completed by Spherix include:

  • Mobile contract renegotiation and migration to leverage benefit of new 4G network
  • Specification and recommendation for fixed line migration
  • On-going vendor management and contract support
